A Change Management System is a structured process organizations use to manage changes to their IT systems, software, hardware, and infrastructure in a controlled and systematic way. It ensures that changes are evaluated, approved, implemented, and reviewed with minimal risk to the organization’s operations. It is typically part of an organization’s overall IT Service Management (ITSM) framework.
In any organization, changes come in different forms, ranging from simple adjustments to highly complex modifications. Some changes, like routine software updates or minor configuration tweaks, are straightforward and can be implemented quickly. Others, however, involve significant transformations, such as infrastructure upgrades or system overhauls, which require careful planning, coordination, and risk assessment.
Users or IT staff submit a formal change request when they want to introduce a change to the system (e.g. updating software, or changing hardware configurations). This change request is evaluated to understand its potential impact on business operations, costs, and risks. It is then reviewed and approved by relevant stakeholders, including managers, technical experts, or a Change Advisory Board (CAB). Some changes may require different levels of approval depending on their risk.
The change is scheduled at a time that minimizes disruption, and a detailed plan is created for how the change will be executed, and the approved change is implemented according to the plan. After implementation, the change is reviewed, and any lessons learned are documented. If everything is working fine, the change request is closed.
